Office Administrator

Family Fostering Partners is an independent fostering agency who prides itself on providing high quality care for vulnerable children. We are currently looking for an energetic, skilled and organised individual to join our Administration Team based in Cross Hands.

You will be responsible for providing professional, comprehensive and flexible administrative support to our team of Link Worker and Managers as well as supporting the Business and Contracts Manager to manage and develop our online and social media presence.

 

Job Description and Person Specification 

Role – Office Administrator 

Terms of Employment - Full time and permanent, based at our Head Office in Cross Hands 

Salary Between £18,600 to £22,660 (depending on experience) 

Interviews will take place at Cross Hands on the 31st of March

We are currently looking for an energetic, skilled and organised individual to join our Administration Team.  

You will be responsible for providing professional, comprehensive and flexible administrative support to our team of Link Worker and Managers as well as supporting the Business and Contracts Manager to manage and develop our online and social media presence.  

Key Responsibilities 

  • Providing a reception and hospitality service 
  • Day to day general administrative tasks  
  • Supporting Managers and Link Workers with administrative tasks 
  • Dealing with telephone enquiries and post 
  • Processing checks and paperwork 
  • Producing documents to a deadline 
  • Proactively ensuring the office environment has adequate supplies and is well maintained 
  • Using our database systems to input and update information and ensuring compliance with auditing, processing and renewing relevant checks 
  • Producing relevant statistical information when required 
  • Growing and expanding Family Fostering Partners’ social media presence 
  • Researching and monitoring competitor activity  
  • Ensuring brand consistency in marketing and social media messages.  
  • Responding to enquiries and assisting with interacting with customers on social media and our website 
  • Creating and editing content for social media and other marketing platforms.   
  • Liaising with third parties to help grow the agency through increased online presence. 

 

Knowledge, Skills and Experience required 

  • High professional standards and an ability to adhere to GDPR and confidentiality policies. 
  • Excellent administrative skills, and an ability to deal sensitively and professionally with both internal and external customers 
  • Previous administrative work experience in an office environment. 
  • Experience of utilising a range of IT programmes and maintaining database systems. 
  • A good knowledge of Microsoft Office, Word & Excel. 
  • Ability to work with confidential information. 
  • Ability to work with a degree of autonomy, in a flexible and creative manner, whilst observing policies and procedures. 
  • Ability to work as part of a team. 
  • Ability to assimilate new technology and systems quickly. 
  • Attention to detail and the ability to complete work accurately and to deadlines. 
  • Willingness to contribute to effective supervision. 
  • Commitment to carrying out all responsibilities in an anti-discriminatory manner. 
  • Ability to self-motivate, be proactive and work on own initiative. 
  • High degree of knowledge and an ability to work with various social media platforms.  
  • Confidence in posting and curating social media posts. 
  • The ability to speak Welsh is desirable.
